Job Summary
The Accounts Payable Accountant is responsible for managing Uzima’s accounts payables, including recording, posting, processing payments and reconciliation of bank accounts. The role requires a high level of attention to detail, coordination with other departments, and responsiveness; it offers broad visibility into the business operations of a rapidly growing startup, growth opportunities to better understand budgeting and key cost controls, and exposure to different departments.
Key Responsibilities
Financial Function
Accounts payables
- Manage key accounts payables activities, including posting of invoices, preparation of weekly payments against available budget, and execution of proper financial documentation controls
- Post non inventory vendor purchase orders and invoices in Xero before processing payments and attach supporting documentation.
- Ensure timely processing of monthly team facilitation, expense refunds, medical refunds, advances and other critical expenses (e.g., taxes)
- Process Vendor payments after approval
- Post all payments in Xero Accounting system
- Ensure that all payments by both cheques and Online are processed have all supporting documentation
- Oversee the preparation of investor support documentation (Payment vouchers, Invoices, Receipts and Payment proof to suppliers)
Bank reconciliation
- Prepare weekly and monthly revenue bank accounts reconciliations
- Review and maintain accurate records of Aging payable on a weekly basis
- Updating and maintaining accurate Fixed Asset records in Xero
- Maintain accurate Prepayment schedules on a monthly basis
Monthly Reports
- Update and share monthly Medical report, AgDevCo report, ARAF report and IAP report
Policy implementation
- Implement and maintain accounting policies and processes in compliance with both IFRS and local regulatory guidance
- Foster appropriate internal control systems and financial procedures
- File and maintain appropriate Company documentation and compliance with regulatory and tax-related requirements
- Ensure that internal reporting deadlines are met. E.g weekly and monthly submission of reports
Other tasks
- Weekly update of cash KPI
- Train Interns as assigned by your supervisor
- Participate in monthly stock taking
- Carry out any other activities as assigned from time to time by your supervisor.
Key Qualifications, Skills, and Experience
Uzima Chicken is seeking a candidate who has the following Abilities:
- Passionate about positively impacting smallholder farmers and customers in rural areas
- Degree in Business administration (BBA) in Finance and accounting, Bachelor of Commerce (B.Com) in accounting and Finance or Accounting and taxation, Bachelor of Commerce (B.Com) in accountancy or related field; relevant certification
- Highly detail oriented, with a passion for accuracy and thoroughness (prefers to do a task
once and right)
- Analytical in approaching and solving problems
- Strong communication and ability to work independently with minimal supervision
- High level of integrity and accountability
- Experience and proficiency in accounting software tools (XERO)
- Experience and proficiency in excel
Title: Assistant Production Manager
Reports to: National Production Manager
Location: Kamabuye, Rwanda with frequent travel to farms and Hatcheries
Target start date: January 1st 2025 or earlier

Summary:
This role is responsible for all the activities of the Uzima Chicken Rwanda broiler and SASSO
day-old chick production, including day-to-day management of breeder farms and hatcheries. This is a key management position responsible for ensuring tight cost management and maintaining breed production standards.
Key KPIs
- Production cost at or below budget through effective management of breeder farms and
Hatchery resulting in low hatching egg costs, high hatchability due to HE quality and tight cost
management
- Key production parameters at breed standards including:
- Production flock(s) mortality /Livability
- Production flock(s) rearing body weight and uniformity
- Settable egg production HDP and HH through good management of breeder stock
- DOC sellable hatch rate above standard through the production of high-quality hatching eggs
- <2% DOC first-week mortality
- Production of daily/weekly/monthly production reports and identification of strategies to
address and gaps or risks in production
Job Summary
General management
- Provide regular production reports to Company management and other departments as
requested (including mortality, uniformity, body weight, production, etc)
- Conduct planning and budgeting to manage costs, including annual budget, material
requisitions, and workforce planning for all the farm and hatchery sites
- Communicate procurement needs in a timely manner; deploy strategies to reduce
procurement costs where possible
- Ensure proper recording and timely basis reporting of eggs and DOCs as finished goods and tracking of consumables/equipment from the store
- Ensure that good inventory control of spare parts, MVDs and feed at production sites
- Keep eyes on the company properties and monitoring, be proactive and report to
immediate supervisor if something is suspected
- Check for security people if they are on duty and the farm is secured enough. Make sure the farm and hatchery are operating smoothly.
Staff Development
- Ensure best-performing team; manager, officer, supervisor and attendants at the farm sites
- Identify staff development gaps and conduct training to improve performance and management
- Prepare checklists for attendants, supervisors, officers and farm managers to ensure smooth
- operations and strong performance at production sites
- Carry out Coaching, evaluation and performance management plans for the team and Subordinates.
- Foster values-aligned work culture among employees at production sites
Operational management of production sites
Breeder Farm(s)
- Manage all breeding flocks in rear and in lay. Monitor the day-to-day operations of the breeder farm(s)
- Monitor all aspects of the flocks vs. industry standards, reporting findings, and making decisions to improve performance
- Monitor and implement all required biosecurity measures on the breeder farm(s); ensure site biosecurity and adherence to company management practices
- Prepare and regularly review vaccination program; implement post-vaccination evaluation of the chicken
- Check mortality trends on the farm and take corrective actions for any deviation from the standard
- Monitor all production parameters like egg production, quality of hatching eggs sent to the hatchery, etc.
- Ensure maintenance schedule is adhered to for farm buildings, equipment, and general cleanliness.
- Proper record keeping on the farm(s); submit daily, weekly and monthly reports to Management
- Ensure minimum stock levels for feeds, consumables, medication & vaccines, uniforms, equipment, spares, etc.
- Maintain and implement necessary IMS and ESG standards, including adhering to international standards for labour safety and animal welfare
- Develop a plan for feed consumption, submitted to the key stakeholders; coordinate with the Feed Mill team to ensure quantity and quality
Hatcheries
- Manage all aspects of hatchery day-to-day management, including approving staffing schedules, overseeing daily activities, and escalating key issues to Management
- Coordinate with Dispatch to manage drivers and cold trucks for hatching egg deliveries, including ensuring regular maintenance
- Ensure effective delivery of hatch processes and SOPs including cold room management, egg sorting, sorting, setting, transfer, hatching, and vaccination
- Coordinate with Hatchery leadership (Manager(s), Technician(s)) to maintain machine quality, including adherence to preventative maintenance SOPs, quick resolution of machine breakdowns, and control of spare parts inventory
- Identify and address potential problems related to hatchability, including egg fertility, egg transport or handling, machine breakdowns, etc.
- Ensure high-quality chick dispatch, including strict adherence to grading and vaccination standards
- Collaborate with Hatchery Managers to arrange for the dispatch of chicks from the hatchery to customers; investigate and handle any customer complaints
- Monitor and implement strict biosecurity procedures of hatchery
Criteria & Experience
- 3+ experience leading breeder farm and/or hatchery sites and/or demonstrated proficiency in poultry breeding and hatchery management
- Degree in Veterinary Medicine or equivalent field
- Experience with critical working tools (Microsoft Suite, Google Suite)
- Clear communication skills (English mandatory)
