Summary of Position


The Customer Insights team strives to provide Management and the Sales Team with actionable insights best to serve Uzima’s customers and smallholder farmers across Uganda. The team acts as the Voice of the Customer, providing feedback that informs business decisions and direction while leveraging marketing tactics to support the Sales team in geographic launches.

Responsibilities include:

Customer insights

  • Conducting phone surveys (post delivery, dropped customers, satisfaction, etc.) and collecting data to measure customer satisfaction, operational excellence, and Uzima’s competitive advantage in the region.
  • Present and share actionable research findings to the Uzima team to inform strategic decisions and improve operational processes that will enhance customer experience
  • Serve as the voice of the customer by identifying pain points, trends and improvement areas across the customer journey; provide input to various Uzima teams (sales, operations, marketing)
  • Ensure customer grievances that arise throughout the survey process are directed to the appropriate parties for redress (Sales Manager, Operations Manager, etc)
  • Identify and report customers with major disease outbreaks and breed complaints; Liaise with the sales teams for on-farm assistance and training.
  • Support the preparation of weekly customer mortality reports and share them with the sales team leadership.
  • Other duties and responsibilities assigned by your manager.

Required skills

  • Degree or diploma in Marketing, Business Admin, Office administration, Record management or any related field.
  • Computer skills with good knowledge of Google Suite (Sheets, Docs) ➢ Fluent in English and either Runyankole, Luganda or Lusoga.
  • Very good interpersonal skills.

Summary of Position:


In order to ensure that all Uzima’s customers have access to high-quality, reliable feeds Uzima developed a Rural Feeds Strategy focused on expansion of depot to serve farmers. The Depot Operations Associate is a key leader in the execution of Uzima’s depot and rural feeds strategy.

This individual must be a team-player who coordinates across multiple departments to drive results. The key responsibilities include launch and management of Uzima’s depot network across the country to ensure access to high quality feeds. Responsibilities will vary and may include sourcing new locations, onboarding attendants, ongoing management and supervision, and addressing key challenges as they arise. This role will also be expected to provide insight to management related to Rural Feeds Strategy and possible areas for improvement.

Key KPIs:

  • All geographic areas of operations fully covered by depots
  • All depots fully operational (clean, professional, supportive) during prescribed schedules
  • No writeoff of feeds due to damage (weevils, pests, etc)
  • No stockouts of feeds at depots

Duties and Responsibilities

Depot and Feed dealer Launch (~20% of working time)

  • Coordinate with Sales Leadership to identify target districts/locations for new depots
  • Lead activities related to depot launch according to company Depot Launch SOPs; this may include sourcing of locations, review of premises, or coordinating activities related to launch.
  • Support Talent in recruitment and onboarding of new depot attendants
  • Onboarding Depot Attendants to daily activities, including

Depot Oversight (~60% of working time):

  • Ensure effective depot operations always by making sure the depot attendants are on duty all the time.
  • Lead fumigation implementation for depots, including supporting depot attendants on fumigation and ensuring adherence to set fumigation SOPs.
  • Oversee customer complaints and liaise with Customer Insights or Finance to support
  • Liaise with the Finance team to propose stock ups at depots and ensure no stock-outs of feeds
  • Support on new depot attendant and/or new depot launch activities
  • Follow up on day-to-day depot management including (but not limited to following up with depot attendants to ensure they report on time, depot is well-cleaned, stock is well arranged, etc)
  • Assist with ongoing depot activities, including tracking of rent payments, organizing with Talent & Admin to support the depot attendants to have daily consumables and cleaning materials every month, etc. Conduct regular visits to the depots to audit activities

Transport Management (~20% of working time):

  • Responsible for managing all transport related to depots and production sites including, but not limited to:

○ Identifying reliable preferred Feed transporters

○ Onboarding drivers (training them on Uzima feed delivery standards, ensuring proper documents in place, etc)

○ Negotiating rates with drivers

○ Communicating with the feed mill and depot teams on transport schedule, sharing necessary authorizations for stock transfers, etc.

  • Submit all necessary documents to Finance for timely payment of transporters
  • Investigate and report any misconduct of drivers

 

Other Operations Activities:

  • Prepare reports for Management on the key activities of the depots, successes, and additional strategies to deploy in order to drive further sales
  • Officer may be assigned other responsibilities at will of the manager, including assisting with import/export activities, DOC delivery, or vehicle management

Qualifications & Skills

  • Degree in Business administration (BBA) , Social work and social sciences, Social Works and Social Administration, Public administration and management, At least 2 years of experience in a similar role.
  • Strong problem-solving abilities.

  • Proven experience managing projects from inception to completion.

Job Summary


The Dispatch Intern is responsible for organizing Uzima’s sales and distribution activities, maintaining dispatch & delivery records, and ensuring smooth delivery of day-old chicks, and vaccination documents to customers.

 

Key KPIs:

DOC Dispatch:

  • Reduce DOC Delivery cost to 100 UGX per DOC
  • Reduce order processing time by 15%, measured through the time taken from order placement to payment confirmation.
  • Achieve a 20% increase in positive customer feedback regarding communication effectiveness.

Driver Management

  • Maintain a 95% compliance rate with Uzima protocols, measured through audits and quality checks.
  • Achieve a 20% reduction in fuel costs and eliminate fuel misuse incidents.

Key responsibilities include:

Order Collection & Dispatch

  • Collect customer orders from the Regional Sales Manager using Uzima’s order tool every week and prepare tentative lists
  • Prepare Delivery Orders for each customer’s order to ensure proper documentation of deliveries; coordinate with Finance to prepare appropriate invoices for customers
  • Share order data and documentation with the hatchery team to facilitate dispatch of day-old

chicks

  • Ensure the availability of appropriate delivery vehicles for dispatch
  • Ensure proper hand-off of delivery documents to drivers e.g. Vaccination charts, boxes, Acknowledgement form etc.
  • Prepare Delivery paperwork required at the border; liaise with the hatchery Team and relevant stakeholders to manage a smooth, timely loading of chick
  • prepare route plan and share cost budget with the National manager prior to deliver

DOC Delivery

  • Negotiate with the Transporter fee prior to the delivery and communicate to the National Operation Manager
  • Determine effective delivery routes from Kawempe hatchery to customers across region make sure drivers understand the sequence of drop-off locations
  • Liaise with RSMs on every delivery and inform them of the status of delivery, Payments, and what support is expected from them.
  • Ensure drivers follow proper procedure handling procedures in the delivery process
  • Follow up on deliveries to ensure customers receive their products at the right place and time; update delivery data following dispatch to track actual products delivered to customers and update order fulfillment records
  • Pipeline analysis, sharing the sales pipeline
  • Ensure customers receive invoices for the products they have purchased and sign and receive the proper delivery documentation
  • Make sure drivers return Delivery 0rders, signed by customers.
  • Communicate with relative stakeholders (Sales, Drivers, Finance, Hatchery) to ensure a smooth delivery and exceptional customer experience
  • Capture the company’s distribution costs and maintain records associated with these costs; assess cost-saving delivery options and suppliers to ensure a cost-efficient delivery
  • Continuously assess ways to improve delivery service and customer satisfaction

Driver Management

  • Train drivers on chicken, vaccine and feed handling, and customer care, using Uzima’s driver training manual, to ensure the best customer experience in the delivery service
  • Ensure exceptional customer service in the delivery process by making sure drivers treat customers respectfully and by addressing any questions from customers immediately
  • Assist drivers in solving problems on deliveries
  • Evaluate driver’s performance using input from the Sales team and customer Insights team; appraise training needs of drivers or non-performing drivers
